Administrative Assistant I

Department: VPI-Office for Student Success, University of Georgia, Athens Area

Salary: $40,000+ commensurate with experience

Work Schedule: Monday – Friday 8:00 am to 5:00 pm; occasional weekends and evenings.

Start Date: December 1, 2025

Position Summary

The Upward Bound Administrative Assistant supports program operations during the academic year and summer components by coordinating tutoring schedules, maintaining student and tutor records, and assisting with program planning. Responsibilities include compiling data for federal reporting, managing the BLUMEN database, and providing responsive support to students, parents, and school staff. The role requires strong organizational and communication skills, and proficiency with word processing, databases, office equipment, and social media platforms.

Minimum Qualifications

  • High school diploma or equivalent

Preferred Qualifications

  • At least two years of experience
  • Good organizational, typing, computer, interpersonal, and communication skills

Key Responsibilities

  • Schedule and coordinate tutoring sessions for Upward Bound participants and tutors.
  • Maintain accurate student and tutor records, including status updates for current, inactive, and former participants.
  • Input and manage data in the BLUMEN database for program participants.
  • Compile data for the Upward Bound Annual Performance Report for the Department of Education.
  • Assist in planning for Upward Bound academic and summer components.
  • Provide responsive support to students, parents, and school staff regarding program operations.
  • Coordinate clerical support for professional staff, including meeting arrangements and correspondence.
  • Prepare agenda items for meetings, follow up on action items, and document proceedings.
  • Assist with staff travel documents and professional development activities.
  • Engage in and support OSSA, UGA, and external committees, presentations, and events.
  • Participate in new and emerging work projects.
  • Type, edit, proofread documents, and prepare final copies for proper format and accuracy.
  • Requisition materials and supplies, maintaining an accurate inventory of items.
  • Schedule summer classes for participants during the summer phase.

Knowledge, Skills, Abilities and Competencies

  • Strong organizational skills
  • Proficiency in word processing and database systems
  • Knowledge of common office equipment and operation of various social media outlets
  • Responsive and attentive to students, parents, and relevant school staff
  • Experience with federal reporting and data compilation for TRIO programs

Physical Demands

Ability to work in an office environment, including sitting at a computer for long periods of time and lifting boxes of files.

Position of Trust

Yes – the position handles confidential information related to federally funded grants and student records.

Additional Requirements

  • Does not require driving, a P‑Card, or control of financial resources.
  • Direct interaction with children under age 18 is required.
  • Security access (public safety, IT security, personnel records, patient records, or access to chemicals and medications) is required.
