Job Overview
The Litigation Legal Secretary provides critical administrative and secretarial support to litigation attorneys and the legal team. The ideal candidate is highly organized, detail-oriented, and proficient in legal procedures specific to litigation. This role is responsible for editing and formatting attorney drafted pleadings, and filing court documents and requires exceptional communication and time-management skills.
Essential duties and responsibilities
Document production
- Edit, format, and proofread a variety of attorney drafted legal documents, including pleadings (e.g., complaints, answers), motions, notices, discovery requests, and subpoenas.
- Finalize legal documents for filing, ensuring they comply with state and federal court rules, formatting standards and citation requirements.
- Create and manage Table of Contents (TOC) and Table of Authorities (TOA) for briefs and other complex documents.
- Transcribe dictation and notes from attorneys to produce legal documents and correspondence.
Filing and case management
- Perform electronic filing (e-filing) and traditional physical filing of documents with various courts and agencies.
- Manage and organize physical and digital case files, ensuring all records are up-to-date and easily accessible.
- Serve and deliver court documents to opposing counsel and other parties as required by law.
Scheduling and calendaring
- Manage and maintain attorneys' calendars, scheduling and coordinating appointments, meetings, depositions, and court appearances.
- Track and docket important litigation deadlines, filing dates, and hearing schedules to ensure timely responses.
- Monitor court docket alerts and manage incoming pleadings and correspondence, routing them to the appropriate attorneys.
Communication and administrative support
- Serve as a professional point of contact for clients, opposing counsel, court staff, maintaining confidentiality at all times.
- Draft, format, and edit correspondence for attorney review and signature.
- Assist in preparing materials for trial and hearings, including compiling exhibits, creating binders, etc.
- Handle administrative tasks such as processing expense reports, managing billing and time entry
Qualifications
- Proven experience as a legal secretary in a litigation practice.
- Strong knowledge of legal terminology, court procedures, and filing requirements.
- Familiarity with state and federal e-filing systems.
- Experience in editing, formatting, and finalizing legal pleadings.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and legal case management software.
- Excellent organizational skills and strong attention to detail.
- Effective written and verbal communication skills.
- Ability to work independently, manage multiple priorities, and meet tight deadlines.
- High level of professionalism and discretion when handling confidential information.
