The Event Manager is responsible and accountable for all assigned events. This position requires the ability to be the main decision maker for each event assigned – all logistics, client management, contract negotiation, budgets, etc. This position requires that event delivery occur in a timely and effective manner with complete customer satisfaction. Must be able to use independent judgment and discretion with regards to budget, logistics and margin for assigned events.
Essential Duties
:
Locate, negotiate and contract event locations. Decide on and oversee event logistics, including food and beverage, audio visual, etc. (as applicable). Oversee all relationships with service vendors, including hotel catering managers, convention service managers, audio visual departments, security, etc. Responsible for managing budgets for assigned events – forecasting costs and expense tracking. Collaborate with the finance team to process event invoices, ensuring timely and accurate payment. Develop and maintain post-event reports to assess event success, ROI, and areas for improvement. Collaborate with cross-functional teams (marketing, sales, content, and registration). Research and source event venues that meet program needs, budget parameters, and logistical requirements. Negotiate contracts with venues, vendors, and suppliers to secure favorable terms and cost savings. Create and manage event timelines to meet deadlines. Create and maintain strong relationships with high level officials, event sponsors, and internal clients. Secure appropriate speakers to mirror content as requested by client. Coordinate with the marketing team in regard to the creation of promotional and event materials, including invitations, program guides, PowerPoint slides, signage, etc. (as applicable). Coordinate all conference calls/meetings related to each event, including kick-off calls, content calls, speaker coordination calls, dry-run calls, etc. Responsible for overseeing all on-site event logistics, including set-up, catering, audio-visual, exhibitor needs, etc. Skills/Qualifications

Job will require travel. Traveling on weekends may be necessary. Precise attention to detail Ability to work under pressure and in a fast paced environment Strong written and verbal communication skills Willingness to work as part of team and maintain strong relationships with all team members Ability to work independently Ability to communicate in a professional manner with high-level executives Proficiency with Microsoft Office Suite, PowerPoint, and Salesforce Proficiency with Cvent, Asana, Canva, Adobe Creative Suite Aptitude and willingness to become proficient in emerging technologies Background in hospitality, with a focus on client experience and event service standards. Experience producing medium to large-scale events, managing complex logistics, and coordinating with multiple stakeholders. Must be in a work environment with reliable Internet access
