Position Summary
The Secretary serves as part of the Salt Lake SHRM Executive Leadership Committee and has exposure to high-level decision-making, corporate governance practices, and strategic planning efforts. This position contributes to the board's vital record-keeping, which helps protect the organization and improves internal accountability. The Secretary ensures that board members govern and operate according to the organization's stated bylaws and approved policies. The Secretary is responsible for facilitating effective communication between the board and the chapter's membership. Additional duties include organizing business operations by preparing meeting agendas, recording meeting minutes, and other responsibilities to ensure the smooth operation of the chapter. The secretary position is a highly influential position that provides a pathway to move into larger volunteer roles on the Salt Lake and State boards.
Responsibilities
- Participate in Executive Committee Business Operations: Collaborate with the Executive Committee on strategy, concerns, and decisions. Assist with vital record-keeping, including maintaining records and preparing minutes.
- Meeting Coordination: Under the guidance of the president, issue notices for officer and board of directors' meetings. Prepare meeting agendas and assist in coordinating in-person visits at various locations. Develop and maintain a host checklist for facility providers.
- Meeting Documentation: Vital record-keeping, which helps protect the organization and improves internal accountability including maintaining records of attendance and preparing minutes for all officers' and directors' meetings, as well as regular chapter meetings.
- Communication Support: Assist in distributing communications to members, including announcements, newsletters, and other relevant information.
- Strategic Goals: Collaborate with the chapter president in the development and implementation of short-term and long-term strategic goals for the chapter to meet the needs of our community and members.
- Community Representation: Act as a representative of the chapter in the human resources community.
Requirements
- Term: 2 years, 2026-2027
- Must be a SHRM National and Chapter member in good standing. (SLSHRM membership will be paid by the chapter.)
- Must be available to meet with subcommittees to align membership growth strategies regularly.
- Serve as a voting board member, attend and participate in all Board meetings (3rd Tuesday of each month, 8:00am - 9:30am).
- Must be able to attend monthly professional development meetings (2nd Tuesday of every month, 10:00am - 1:00pm) and other events as planned.
- Time Commitment: Approximately 10-15 hours per month.
