Job Title: Transaction Coordinator Manager

Job Summary We are seeking a highly experienced, strategic, and organized Transaction Manager to lead and oversee all transaction processes from contract to close. This leadership role is responsible not only for managing transactions but also for building and improving systems, training and supervising support staff (if any), ensuring compliance across files, and acting as a liaison between internal teams and external partners. The ideal candidate will bring a blend of operational excellence, industry knowledge, and leadership to drive a seamless, high-volume transaction pipeline.
Key Responsibilities – Leadership & Oversight
Oversee and manage the company’s full pipeline of real estate transactions.
Supervise and train junior transaction coordinators, virtual assistants, or administrative team members involved in the transaction process.
Design, implement, and optimize scalable systems and SOPs for transaction management.
Ensure internal deadlines, legal compliance, and brokerage policies are consistently met.
Serve as the escalation point for complex or high-risk files.
Key Responsibilities – Transaction Management
Manage all aspects of the transaction process from contract to closing.
Open escrow, monitor contingencies, ensure signatures and disclosures are collected properly.
Coordinate with clients, agents, escrow officers, lenders, inspectors, attorneys, and title reps.
Track all timelines and ensure seamless communication and documentation.
Submit all necessary documents for compliance and ensure files are audit-ready.
Key Responsibilities – Reporting & Optimization
Provide regular updates on transaction volume, closing timelines, and pipeline status to leadership.
Identify bottlenecks and implement process improvements.
Maintain detailed transaction records and performance metrics.
Collaborate with leadership to set performance benchmarks and streamline workflows.
Qualifications
3+ years of experience as a Transaction Coordinator in real estate (residential, investment, or commercial).
Prior management or team lead experience is strongly preferred.
Deep understanding of real estate contracts, escrow timelines, disclosures, and compliance.
Proven ability to manage multiple high-volume transactions concurrently.
Strong leadership, communication, and problem-solving skills.
Proficient with real estate tools such as DocuSign, MLS systems, and CRMs.
Exceptional organization and follow-through skills.
Real estate license (preferred but not required depending on state regulations).
Knowledge of state-specific real estate laws (e.g., California) if applicable.
