Description The Senior Administrator, Office Manager plays a pivotal role in ensuring seamless operations across Brook’s Bellevue office and providing high‑level administrative support to our executive team. This position combines operational excellence with strategic partnership, supporting leaders in a fast‑paced, mission‑driven environment. The ideal candidate is a proactive problem solver who thrives on organization, communication, and helping others succeed. This role requires exceptional attention to detail, strong judgment, and the ability to anticipate needs in a dynamic setting.

Key Responsibilities

Manage day‑to‑day operations of the Bellevue office while providing strategic administrative support to the executive team; oversee facilities, supplies, and vendor relationships.

Coordinate complex calendars and scheduling across multiple time zones; organize executive meetings, prepare agendas, compile documentation, and follow up on action items.

Design and prepare Google decks and executive materials for internal and external meetings, proposals, and presentations; ensure quality, accuracy, and design consistency.

Serve as a trusted partner to the executive team by anticipating needs, exercising discretion with sensitive information, and managing shifting priorities with professionalism.

Coordinate cross‑functional logistics including company events, team meetings, and onboarding for Bellevue‑based staff; collaborate with Finance and HR on employee engagement and office experience initiatives.

Support communication and coordination across all Brook locations, ensuring consistency in administrative processes and operational standards.

Qualifications

Alignment to Brook’s mission and values.

4+ years of experience supporting C‑level and senior executive teams; multiple executives at one time.

Strong attention to detail when handling priorities, projects, and deadlines.

Excellent written and verbal communication skills; ability to disagree constructively.

Proficiency with contemporary collaboration and productivity tools – Google Suite, Microsoft Office, Slack, Hubspot, Notion.

Comfortable across different time zones (PST, EST, Australia).

Working knowledge of tools such as Miro, Typeform, Zoom, ZenDesk, FreshService.

Knowledge, Skills, And Abilities

Proven ability to manage complex administrative and operational workflows in a fast‑paced environment.

Excellent attention to detail, organization, and follow‑through.

Comfortable working independently and exercising sound judgment in ambiguous situations.

Proficiency with Google Suite, Microsoft Office, Notion, Slack, Miro, Typeform, Zoom, Hubspot, ZenDesk, FreshService.

Strong interpersonal skills with the ability to collaborate across departments and geographies.

Salary: $70,000–$90,000 USD based on experience.
