A premier investment firm is seeking a polished and resourceful Executive Assistant & Office Manager to provide high-level support to two General Partners while overseeing day-to-day office operations. This is an exceptional opportunity for an experienced professional who thrives in a dynamic, fast-paced environment and enjoys balancing executive support with leadership of administrative and facilities functions.

The ideal candidate is proactive, highly organized, and confident managing multiple priorities with discretion and professionalism. They bring strong business intuition, a collaborative spirit, and a “no task too big or too small” mindset. This role will be fully on-site in the firm’s beautiful Presidio office and will oversee the receptionist/office coordinator as part of the broader administrative function.

Executive Support

Provide comprehensive administrative support to two General Partners, including complex calendar management and scheduling across multiple time zones.

Coordinate meetings, calls, and events with internal teams, portfolio companies, and external partners.

Arrange detailed domestic and international travel, including flights, accommodations, and itineraries.

Prepare and process expense reports, invoices, and reimbursements with accuracy and timeliness.

Anticipate needs, streamline processes, and ensure seamless day-to-day support.

Office Management & Team Oversight

Oversee daily office operations to maintain a professional, well-organized, and welcoming environment.

Supervise the receptionist/office coordinator, providing mentorship, guidance, and oversight of front office functions.

Manage vendor relationships, office supply inventory, and service contracts.

Coordinate office-wide meetings, events, and team gatherings.

Partner with IT, facilities, and building management to resolve operational needs promptly and efficiently.

Work closely with other Executive Assistants to provide backup coverage and ensure consistent, high-quality support across the firm.

Foster collaboration, communication, and teamwork among the administrative and investment teams.

Lead by example, contributing to a positive and professional office culture.

Qualifications

5+ years of experience as an Executive Assistant, ideally within financial services, venture capital, or private equity.

Proven ability to manage multiple priorities and support senior-level executives in a fast-paced environment.

Strong organizational and leadership skills with prior office management experience preferred.

Tech-savvy and proficient in Microsoft Office and Google Workspace; experience with Concur or similar systems a plus.

Exceptional written and verbal communication skills with strong attention to detail.

Professional, discreet, and adaptable, with the ability to anticipate needs and solve problems proactively.

Collaborative, service-oriented mindset with the flexibility to handle a variety of tasks—from strategic planning to hands‑on execution.
