A well-established financial services firm is seeking a highly organized, proactive, and dynamic Executive Assistant to support the Managing Partner and three other senior executives. The ideal candidate is a detail-oriented problem solver with exceptional communication skills and the ability to juggle multiple priorities seamlessly. Key Responsibilities of the Executive Assistant
- Coordinate domestic and international travel, crafting detailed itineraries, preparing meeting materials and agendas, and adapting to changes outside standard hours.
- Support long-term projects by organizing timelines, creating action plans, and tracking progress to ensure successful outcomes.
- Manage complex calendars, schedule meetings, and respond to last-minute changes with efficiency and professionalism.
- Screen inquiries and requests, directing them appropriately and following up to ensure nothing falls through the cracks.
- Provide comprehensive administrative support, including document management, correspondence handling, and preparation of meeting notes.
- Answer and route phone calls, delivering messages promptly and courteously.
- Maintain strict confidentiality while handling sensitive information.
- Support the Managing Partner and three other executives with personal errands and requests, accurately submitting and reconciling travel and expense reports using the relevant systems.
- Assist other administrative staff as needed and take on additional responsibilities to support team success.
Qualifications of the Executive Assistant
- Bachelor’s degree or equivalent professional experience.
- Minimum three years of executive-level support experience, preferably in corporate or financial services settings.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); experience with Salesforce is a plus.
- Proven ability to manage complex calendars and coordinate travel arrangements efficiently.
- Skilled at handling multiple projects under tight deadlines without compromising quality or accuracy.
- Exceptional organizational, decision-making, and problem-solving skills, with a strong sense of integrity, discretion, and professionalism.
- Self-motivated, able to work independently, and adept at anticipating executive needs.
- Excellent written and verbal communication skills, capable of engaging effectively with internal and external stakeholders.
- Comfortable collaborating within a team environment and fostering positive relationships across all levels.
