Job Summary This position reports directly to the Assistant Director of Admissions Events and is a member of the Engagement and Outreach Team in the CSU Office of Admissions. The Events Coordinator plans, manages, and produces on‑campus, off‑campus, and virtual recruitment and outreach events, including large visit programs (1,000‑2,000 attendees) and special‑population events. The role supports the Ammons Hall visitor experience (>30,000 visitors/year) and collaborates with unit partners to execute events from concept to completion. This full‑time, 12‑month Administrative Professional position is based on campus with hybrid opportunities.
Required Job Qualifications
Bachelor’s degree in education, liberal arts, hospitality, counseling, business, or a related field.
1 year of event planning or campus visit programming experience.
1 year of demonstrated leadership or professional experience working with high‑school or college students.
Personal or professional interest in access recruitment, evidenced by training or active planning.
Ability to work irregular hours, including evenings and weekends.
Valid driver’s license or ability to obtain one by employment start date.
Preferred Job Qualifications
Previous admissions or college counseling experience or related higher‑education experience.
High‑level customer service experience with diverse populations.
Ability to work collaboratively and independently.
Experience with data for assessment.
Experience managing budgets.
Strong written and verbal communication skills.
Strong organizational skills.
Fluency in Spanish (reading, writing, speaking).
Essential Duties Event Planning, Management, and Production (65 %)
Conduct needs assessment with the Assistant Director of Events to define goals and recommend solutions.
Develop risk‑management plans for contingencies such as weather, speaker no‑shows, crowd control, and traffic management.
Troubleshoot issues during planning and execution to ensure timely resolution.
Create project timelines and task lists for each event.
Draft agendas with program partners and review prior event data to meet goals.
Manage event budgets up to $50,000, track expenditures, and adjust forecasts as needed.
Coordinate communications with Marketing and Communications, reviewing promotions, registrations, reminders, cancellations, confirmations, and post‑event thank‑you notes.
Plan venue components: space, catering, technology, parking, lodging, transportation, and special requests (facility services, trash, tables).
Identify vendors/contractors, request quotes, negotiate contracts, review orders, and manage post‑event invoices.
Oversee logistics on event day: timing, staffing, vendors, venue, guest needs.
Deliver superior customer service to guests, partners, and attendees.
Stay current on event‑planning software (e.g., Slate, Qualtrics, Zoom, Microsoft Office) and train stakeholders.
Reserve and fulfill golf carts and motor vehicles for events as needed.
Event Analysis and Reporting (15 %)
Develop, design, and review assessment surveys for campus partners and attendees.
Ensure event accessibility and inclusivity in programming and communications.
Manage event calendar in Outlook and coordinate staff distribution.
Lead pre‑planning and post‑event debrief meetings and compile actionable feedback.
Support the Admissions general visit email inbox.
Manage Swag Inventory (10 %)
Maintain SOPs for Admissions swag usage and requests.
Track inventory using the Admissions Inventory Management (AIM) program.
Secure physical storage at Ammons and Centennial.
Fulfill swag requests for events and VIP visits.
Other Duties (10 %)
Present Office of Admissions daily information session as needed.
Participate in at least two professional development activities annually.
Engage in office‑wide programs, meetings, and committees as assigned.
Represent CSU at on‑ and off‑campus events.
Offer event‑planning guidance to partners.
Join professional associations (e.g., Colorado Council on High School/College Relations, Rocky Mountain Association of College Admissions Counseling, Collegiate Information and Visitor Services Association).
Collaborate with Engagement and Outreach Coordinators to ensure welcoming visitor experiences at Ammons Hall.
