Overview We’re seeking an experienced
Payroll Specialist III
to join a growing payroll team supporting multi-state, union, and non-union payroll operations. This position plays a key role in processing high-volume payroll, ensuring accuracy, compliance, and efficiency across systems and reporting.
Key Responsibilities
Prepare and distribute weekly and bi-weekly payroll for assigned divisions, ensuring accuracy and compliance with internal controls and state/federal regulations.
Enter and verify payroll data including timesheets, adjustments, and corrections in the payroll system.
Process final payments for terminated employees in compliance with applicable laws.
Reconcile payroll data to general ledger accounts and resolve discrepancies.
Generate and distribute standard and ad hoc payroll reports to support finance and operations.
Support payroll tax processing, deductions (401k, union dues, etc.), and reporting as needed.
Maintain detailed documentation and ensure adherence to departmental procedures and audit standards.
Collaborate with internal teams such as Finance, HR, and IT to troubleshoot issues and improve processes.
Stay up to date on wage and hour laws, ensuring payroll compliance across all jurisdictions.
Qualifications
Associate’s degree in Accounting, Finance, or related field required; Bachelor’s degree preferred.
3+ years of end-to-end payroll processing experience, preferably in a large, multi-state organization (500+ employees).
Experience using in-house payroll systems such as Lawson, Great Plains, SAP, or Workday (ADP/Paychex alone not sufficient).
Strong proficiency in Microsoft Excel (formulas, VLOOKUPs, Pivot Tables) — used extensively for payroll accuracy checks and reconciliations.
Experience with union payroll and multi-state payroll strongly preferred.
Excellent attention to detail, organizational skills, and ability to meet deadlines in a fast-paced environment.
Strong interpersonal and communication skills with a proactive, team-oriented mindset.
