Trusts & Estates Legal Assistant (Hybrid)

Salary:
$90,000 – $95,000

Position Summary A well-established law firm with a strong Private Client practice is seeking an experienced Trusts & Estates Legal Assistant to join its West Palm Beach office. This position offers the opportunity to work in a collaborative and professional environment supporting a busy Trusts & Estates team. The ideal candidate will have experience in trusts and estates or private client matters and be comfortable managing a wide range of administrative and client‑related responsibilities.
Responsibilities
Provide comprehensive administrative and client support to multiple attorneys in the Trusts & Estates practice.
Manage client communications, including scheduling appointments, responding to inquiries, and coordinating meetings.
Organize and facilitate client document execution meetings, acting as a witness or Notary Public as needed.
Prepare, format, and proofread complex legal documents for execution or electronic filing.
Maintain and organize both digital and physical client files in accordance with firm protocols.
Monitor and remind attorneys of deadlines, proactively managing priorities to ensure smooth workflow.
Assist with billing and expense tracking, including editing time entries and managing reimbursement submissions.
Coordinate new client and matter intake, including engagement letters and compliance requirements.
Conduct basic research using Lexis, internal databases, or online resources as needed.
Collaborate effectively with other support staff and departments to meet deadlines and ensure client satisfaction.
Delegate tasks to firm resources (e.g., Word Processing, IT Support) and review completed work for accuracy.
Qualifications
Minimum of 2–4 years of legal administrative experience, preferably in Trusts & Estates or Private Client practice.
Experience supporting multiple attorneys in a fast‑paced environment.
Strong organizational skills with the ability to manage conflicting priorities.
Excellent written, verbal, and interpersonal communication skills.
High level of professionalism, discretion, and confidentiality.
Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
Familiarity with document management and billing software such as iManage/FileSite, InTapp, CMS, or similar.
Strong attention to detail and the ability to produce accurate work with minimal supervision.
Notary Public (or willingness to obtain certification shortly after hire).
