EHS Manager SUMMARY: The Local Leave Coordinator reports to the Leave Administration Manager. The Local Leave of Absence (LOA) Coordinator is responsible for the day-to-day administration of MEI leaves of absence. This position administers leaves in accordance with company policies and compliance with FMLA, ADA, and all federal and state laws. This individual will serve as the subject matter expert for all federal, state, and Company provided leaves including but not limited to FMLA, STD, LTD, ADA, PLOA, and Military Leaves. The Leave Coordinator will support associates and HR Professionals in all aspects of the leave management process. ESSENTIAL RESPONSIBILITIES
(include but not limited to) : Serve as Subject Matter Expert:
Act as a central point of contact and knowledge base for associates and leadership regarding leave policies, procedures, and legal requirements (e.g., FMLA, ADA, state-specific leave laws, etc.). Coordinate Leave Administration with the TPA:
Oversee the end-to-end leave process (Military, FMLA, State Leave, and/or STD/LTD), ensuring compliance with federal and state regulations and company policies. This includes: Identifies associates' leave of absence needs, determines eligibility, and directs accordingly. Verifying associate eligibility and ensuring all necessary documentation is collected and processed. Updates and maintains associate’s leave of absence time and status in HRIS system. Communicating leave details and status updates to associates and leadership, ensuring a seamless associate experience. Partnering with the TPA to resolve complex inquiries and escalations. Maintains appropriate contact with associates on leave and coordinates return to work for associates on Leave Manage Specific Leave Programs:
Administer various types of leave, including FMLA, ADA, STD/LTD, military leave, and state-mandated leaves, in conjunction with the TPA. Generate Reports and Analytics:
Track leave data, analyze trends, and generate reports to identify opportunities for process improvement and informed decision-making. Ensure Compliance:
Stay informed about new and changing leave laws and regulations, ensuring the company and TPA's practices remain compliant, protecting the Company’s liability. Training and Communication:
Assist in the development and delivery of training on leave policies and procedures to employees and managers. Collaborate with Internal Departments:
Work closely with Human Resources, Payroll, and other relevant departments to coordinate efforts related to leave administration and ensure compliance across the organization. Collects and organizes all Personal Leave of Absence documentation needed to make an allowance determination. Once determination has been made, provides follow-up and notifications to associates. PERIODIC RESPONSIBILITIES
Serves as the departmental Record Retention Representative Conducting periodic audits of the HRIS, and TPA's processes and reporting. Provides leave (FMLA, STD, PLOA, Military) education to Company New Hires at Orientation. MINIMUM REQUIREMENTS (EDUCATION, EXPERIENCE, SKILLS)
High school diploma or GED (required). Minimum 2 years of FMLA experience. Experience with external vendors or TPAs. Strong knowledge of FMLA, ADA, state leave laws, and HIPAA. Good analytical and problem-solving abilities. Must be detail-oriented and consistently meet commitments. Possesses good organizational and planning skills, can multitask and prioritize effectively. Able to document and execute against short- and long-term plans to achieve objectives. Ability to maintain confidentiality. Proficiency with HR systems. Willing to travel up to 20% Must be flexible to work different hours as needed by the department/business. Good interpersonal skills with the ability to interact with personnel at all levels, including Executive management in a team environment. Ability to independently listen, gather, and synthesize information, and formulate responses using sound judgment. High level of comfort developing and delivering training presentations to all levels of associates. English is required. Physical Demands:
Occasionally required to lift up to 40 lbs. Regularly required to sit, stand, bend, reach, and move throughout the facility. Work will primarily take place in a warehouse/production environment. Exposure to warehouse/production environment. **This position may be advertised outside the Company simultaneously with this internal posting**
