Job Summary Responsible to participate in patient care, ensuring all duties are performed efficiently and professionally. Tasks include checking patients in, verifying appointment reminders, preparing charts for the following day, and interacting with patients, physicians, and staff.

Essential ASC Coordinator Duties

Greets patients and verifies identity, applies armbands, and creates wristbands.

Prints demographic sheets and prepares charts for the next day.

Changes patient status to “Patient Paperwork Status” in the schedule once they sign in.

Distributes Pain Questionnaire sheets for patients to fill out.

Verifies ID and insurance card information for each new patient visit.

Ensures accuracy of patient demographics and insurance information in EMR.

Inputs all information from new patient packets into patient demographics.

Assists in answering phones.

Schedules patient clinic appointments.

Collects co‑pays and balances as directed by the Financial Counselor and the “Co‑Pay Sheet.”

Assists with scanning when needed.

Ensures insurance selection in EMR matches the Payor ID/Claims address on the ID card.

Completes follow‑up calls 48–72 hours after procedures.

Completes batching process at the end of each business day.

Other duties as assigned.

Essential Clinic Coordinator Duties

Warmly greets patients and verifies identity and insurance card information.

Prints all patient charts for the next day and changes status to “Arrived.”

Ensures accuracy of demographics and insurance information in EMR.

Inputs all information from new patient packets into patient demographics.

Assists in answering phones and provides patient directions or answers questions.

Confirms next‑day appointments and schedules patient clinic appointments as requested.

Collects co‑pays and balances as directed by the Financial Counselor and the “Co‑Pay Sheet.”

Adheres to Front Office Policies and Procedures.

Assists in scanning when needed.

Ensures insurance selection in EMR matches the Payor ID on insurance cards.

Verifies that each patient has received their daily appointment reminder.

Prepares the clinic chart for each patient for the following day, ensuring the packet includes the check‑in packet, MRI, last office note, last UDS results, and the patient’s medical summary.

Education / Experience / Skills / Certifications

High School diploma or GED required.

Six months of medical office experience required.

Proficiency with Microsoft Office and eClinical.

Strong data entry and customer service skills.

Good command of the English language, both verbal and written.

Ability to work well with physicians, employees, patients and others.

Ability to work independently with detail and accuracy.

Physical Demands Regularly required to sit and use hands to finger, handle, or feel. Frequently required to reach with hands and arms. Occasionally required to stand, walk, and lift or move up to 50 pounds. Requires close vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Work Environment Moderate noise level. Possible exposure to infectious/contagious diseases, hazardous chemicals, needle sticks, blood and body fluids. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
