In this role, you will be responsible for ensuring a seamless experience for candidates and hiring managers throughout the recruiting process. Responsibilities
Join client intake calls alongside Sales team members to take detailed notes, build rapport with hiring managers, and enter job requisitions accurately into the CRM. Coordinate candidate interviews from end to end—including calendar invites, confirmations, and follow-ups—to ensure a seamless experience. Maintain and update data in the ATS/CRM (e.g., Bullhorn, Greenhouse, Jobvite), ensuring accuracy and completeness across all records. Prepare, review, and revise job descriptions, candidate submittals, client-facing reports, and internal documentation. Assist in managing projects across the sales and recruiting lifecycle by tracking progress, maintaining timelines, and ensuring all stakeholders are aligned. Provide administrative support to the Sales team including resume formatting, email follow-ups, intake template prep, offer facilitation, and onboarding/offboarding coordination. Collaborate with internal recruiting teams to drive sourcing momentum and maintain candidate pipeline flow. Post job openings to job boards, upload resumes, and manage candidate tracking. Create and share shortlists of qualified candidates for review by hiring managers. Help identify future hiring needs in collaboration with managers and team leads. Deliver exceptional client service, helping build trust and long-lasting partnerships. Keep detailed records of all activities, notes, and communication—organization is your superpower. Qualifications
4-7 years in a client services, recruiting coordination, staffing support, or administrative role. Experience using CRMs and ATS systems (Bullhorn, Greenhouse, Jobvite preferred). Excellent written communication and note-taking skills with strong attention to detail. Proven ability to manage multiple priorities with outstanding time management. Strong decision-making abilities with a collaborative, problem-solving mindset. High level of professionalism and polish in all communications. Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams). Comfortable working independently while navigating cross-functional teamwork. Experience posting jobs, submitting candidates, and supporting onboarding a plus. Education
Bachelor’s degree preferred or equivalent experience. Pay range and compensation package
