Booking/Marketing Coordinator.

This position oversees the scheduling, contracting and marketing process for the Martin Marietta Center for the Performing Arts resident companies. It supports the Booking Manager by working with select local clients to book event space, oversee contractual requirements, and ensure client satisfaction while following booking policy and procedures.

About You Strong organizational, communication, and customer service skills. Excellent attention to detail is required to accurately manage multiple bookings, calendars, and client needs.

Responsibilities

Manage the calendar for resident companies, ensuring the Performing Arts Center has current details and issues agreements when applicable.

Support the Booking Manager by securing and scheduling events with select local clients, conducting site visits, providing estimates of event costs, and drafting agreements for the Performing Arts Center while following booking priorities.

Assist in the coordination and management of pre‑event booking details ensuring clients are well informed, policies are followed, and the Performing Arts Center has all required information.

Manage the collection, scheduling, and content management of all webpage, digital screen, and email marketing for resident company events.

Gather, assemble, and distribute event materials, maintain records, files, and related event documentation in the Performing Arts Center’s event system. Request and collect client feedback and ensure it is documented and addressed.

Help collect and track event data to optimize venue use and success.

Gather certificates of insurance for all clients, ensuring accurate requirements are met.

Manage the scheduling of lobby music.

Perform other tasks as assigned by the Booking Manager.

Education and Experience Associate’s Degree in Business, Marketing, Communications, or related field; 1 to 3 years’ experience in marketing, social media, event coordination, or a related field. OR any equivalent combination of training and/or experience that provides the required knowledge, skills, and abilities may be substituted.

Knowledge Of

Basic contract agreement principles and practices

Social media, email marketing, and related online tools

Modern office practices and procedures, including the use of standard office equipment and computer applications such as word processing, database, and spreadsheet applications

Business math concepts

Filing and record‑keeping principles

Customer service principles

Identifying meeting/event needs and coordinating required resources

Performing basic original research, compiling and assembling data

Organizing tasks, meeting deadlines and prioritizing competing demands

ADA & Other Requirements Physical Effort Sedentary: Exerting up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull, or otherwise move objects, including the human body.

Work Environment Work is typically performed in an office or similar indoor environment. Employees may occasionally work in an outdoor or street environment (near moving traffic).
