Must Haves

High school diploma from an accredited institution.

3+ years of experience as a Legal Assistant in Insurance Defense

Experience in medical malpractice and / or healthcare defense preferred

Proficiency with Florida court filing systems (E-Filing Portal, E-Courtesy, E-Service, JAWS, CM / ECF)

Experience using litigation management portals (Case Glide, Acuity, Legal Tracker,

Strong organization, attention to detail, and communication skills

Ability to manage multiple attorneys’ calendars, deadlines, and billing efficiently

About the Role A highly regarded Tampa law firm is seeking a skilled and experienced Legal Assistant to provide comprehensive support to a team of attorneys. This position requires a detail-oriented, proactive individual who thrives in a fast-paced legal environment. The ideal candidate will bring strong knowledge of insurance defense litigation, particularly in medical malpractice and healthcare defense, and will be comfortable handling a variety of administrative and case management responsibilities.

Key Responsibilities

Maintain attorney calendars, schedule appointments, depositions, inspections, and hearings

Draft, proofread, and edit legal documents and correspondence for accuracy, format, and grammar

Manage attorney billing, time entry, and pre-bill processes in compliance with client guidelines

Handle electronic filings and submissions through all relevant Florida e-filing systems

Organize and maintain case files and client materials

Process invoices from vendors, experts, and third parties

Submit new case assignments, conduct conflict checks, and manage matter updates

Assist with administrative duties, including correspondence, expense reports, and check requests

Qualifications

High school diploma required; additional education or certification in Legal Studies a plus

Minimum 3–5 years of legal administrative experience with a focus on Insurance Defense

Proficiency in Microsoft Office and legal practice management systems

Ability to manage multiple priorities and work independently in a team-oriented environment
