Job Summary Perform a variety of clerical and administrative tasks in support of the Police Department, including entering and updating offense and accident reports, filing, typing, and preparing TCIC/NCIC validations. Answer incoming non‑emergency calls, maintain accurate accounts of all reports, and prepare packets for prosecution as appropriate.

Essential Functions

Regular and timely attendance at work.

Enter, code, and retrieve information from various computer systems.

Search and retrieve information from files, computer records, and other documents in response to specific requests.

Release information and documents in accordance with the Public Information Act and other applicable laws.

Sort, review, and screen police reports for completeness before forwarding to district attorney, defendants, victims, and other government agencies.

Maintain logs and other records controls to assure tracking of case files; process offense and accident requests and deposit fees.

Categorize statistics according to a variety of guidelines and criteria.

Answer phone calls for the records division and respond to a variety of requests for information concerning records and department functions and policies.

Contribute to team effort by performing other related duties as assigned.

Minimum Education and Experience Requirements

High school diploma or equivalent.

One (1) to three (3) months of related experience and/or training, or an equivalent combination of education and experience.

Desired Knowledge, Skills, and Certifications

Knowledge of Municipal Government, ordinances, Texas Penal Code, and other laws, rules, and regulations associated with record keeping.

NCIC/TCIC certified, or the ability to obtain certification within six (6) months.

Valid Texas Driver's License.

CPR certified (preferred).

State of Texas Notary (preferred).

Microsoft and Outlook software skills (preferred).

Bi‑lingual in English/Spanish (preferred).

Other Requirements Must be able to pass a criminal history check and polygraph testing. Must be available to work weekdays, overtime, emergency work, evenings, nights, and weekends. Must be able to work Monday‑Friday (8 am–5 pm or 7 am–5 pm) with overtime and emergency work as needed.

Compensation and Benefits The Police Records Clerk earns a competitive salary of $17.96 to $21.07 per hour based on qualifications. The city pays all premiums for employee dental, long‑term disability protection, life insurance, and the majority portion of medical premiums for employees and their dependents.
