Sales & Logistics Coordinator

Pay $24-27/hour

General Position Summary The Sales & Logistics Coordinator is responsible for supporting the Performance Materials Division through efficient coordination of sales orders, logistics, and customer service activities. This position ensures that international and domestic shipments are processed accurately and delivered on schedule while maintaining strong communication with customers, freight forwarders, and internal departments. The role also includes data management, invoicing, and general administrative support to facilitate smooth business operations.
Essential Duties and Responsibilities Sales and Customer Support
Coordinate order processing from quotation through delivery, ensuring accuracy and timely response to customer inquiries.
Prepare and issue sales documents including purchase orders, invoices, packing lists, and bills of lading.
Maintain effective communication with customers and sales staff regarding order status, shipping schedules, and inventory availability.
Logistics Coordination
Arrange and monitor international and domestic shipments, working closely with freight forwarders and warehouses.
Ensure compliance with import/export procedures and documentation requirements.
Track and coordinate inbound and outbound deliveries to ensure on‑time performance.
Data Entry and Record Management
Enter and update order information in the company ERP system.
Maintain and reconcile inventory records across multiple warehouse locations.
Prepare and maintain sales and logistics reports using Microsoft Excel and other company systems.
Accounting Support
Process and verify freight and small-shipment invoices for payment.
Create and distribute customer invoices and assist with payment tracking and collection follow‑up as needed.
Administrative Support
Provide clerical and administrative assistance to the Division Manager.
Maintain organized filing systems for sales and logistics documentation.
Assist with preparation of sales and marketing materials when required.
Qualifications Education and Experience
High school diploma or equivalent required; associate degree or higher preferred.
Experience in international shipping or trading company environment is preferred.
Knowledge, Skills, and Abilities
Strong attention to detail and accuracy in data management and documentation.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Ability to multitask and manage priorities in a fast‑paced environment.
Basic understanding of import/export procedures and freight documentation.
