We are working with a very mission-driven non-profit organization that serves the community, supporting education, advancing healthcare, etc. They host a variety of programs, meetings, and special events throughout the year, and we’re seeking an experienced
Events Coordinator
to help us manage facility bookings, event logistics, and vendor relationships to ensure every event runs smoothly and successfully.
Position Summary The Events Coordinator will oversee the planning and execution of organizational events, with a strong focus on
booking facilities and managing event logistics . This individual will work closely with staff, community partners, and vendors to secure venues, negotiate contracts, and coordinate all event details from start to finish. The ideal candidate is highly organized, detail-oriented, and skilled at managing multiple projects simultaneously.
Key Responsibilities
Identify, research, and book facilities
for meetings, conferences, fundraisers, and community events.
Coordinate logistics such as room layouts, catering, audiovisual needs, and on-site setup and teardown.
Review, negotiate, and track
contracts and facility agreements , ensuring compliance with organizational guidelines and budget parameters.
Maintain a calendar of upcoming events and ensure timely communication with all stakeholders.
Serve as the primary point of contact for venues, vendors, and internal teams to ensure seamless event execution.
Monitor event expenses and assist with budget tracking and reconciliation.
Utilize event management and office software to organize event details, communications, and documentation.
Provide strong
follow-up and communication
before, during, and after each event.
Qualifications
Minimum of
2 years of experience
in event coordination, facility booking, or venue management (nonprofit experience a plus).
Computer savvy , with proficiency in Microsoft Office Suite and event management software.
Strong
attention to detail
and organizational skills.
Excellent written and verbal communication skills.
Proven ability to review, interpret, and manage
contracts and vendor agreements .
Professional demeanor with strong problem-solving and follow-up abilities.
Availability to work occasional evenings or weekends for events.
