The Department of Chemistry is a cornerstone of the School of Natural Sciences and Mathematics, the College of Arts and Sciences, and the University, dedicated to developing globally competitive undergraduate, graduate, and professional programs while advancing world‑class interdisciplinary research from drug discovery to materials science.
Position Summary The Office Manager/Department Operations Manager provides comprehensive administrative and academic support to the Department Chair, faculty, staff, and students. They ensure effective management of the department’s budget, office operations, purchasing, facilities, and overall operational requirements, and supervise office staff and Federal Work‑Study (FWS) students.
Responsibilities
Oversee daily department operations, ensuring office coverage from 8:00 am to 5:00 pm, faculty and staff support, and compliance with USF policies.
Manage payroll for over 200 personnel: prepare and submit payroll forms (PCAF, Pay Distributions, RETs), and liaise with the payroll office regarding discrepancies.
Serve as the department liaison for faculty affairs procedures, including recruitment, credentialing, onboarding, tenure & promotion, awards, annual evaluations, workload procedures, and visa processes.
Supervise department employees and FWS students: allocate work, provide training, evaluate performance, and enforce internal procedures.
Manage department space utilization across multiple buildings: oversee key/card access, asset management, lab moves, and coordinate with campus facilities and procurement.
Facilitate communication with HR and Financial Embedded Services: coordinate travel for seminar series, process contracts and invoices, and maintain accurate HR-related profiles.
Assist the Department Chair with budgeting: prepare budget requests, carry forward and forecast funds for E & G, foundation, auxiliary, and research accounts, and produce budget reports.
Qualifications
High school diploma or equivalent.
Minimum four years of customer service related experience, with at least one year in a supervisory role.
Knowledge of federal background check procedures (Level 1 or Level 2).
