Position: Experienced Surgical Scheduler

Hours: 40 hours per week, approximately 7:30 am–4:00 pm (on‑site role).

Job Description Coordinates scheduling for surgical and endoscopy patient procedures and services. Calls patients and relays surgical times and pre‑operative information. Reviews every surgery scheduled by all surgical departments to ensure patient safety. Assists surgeons and department OR schedulers to meet their needs. Meets with OR nursing and anesthesia to review several days of OR schedules and update them with changes, add‑ons, and cancellations. Communicates any system or process changes to all surgical departments. Checks OR privileges for new surgeons to BILH. Experience with Epic EHR preferred.

Essential Responsibilities

Schedules patients for procedures and related appointments; notifies patients in‑person and via mail. Provides complete information on procedure location, time, and requirements.

Maintains multiple applications for scheduling and patient data collection. Coordinates location of procedure, medical staff, and clinical resources. Completes accurate and timely journal entries. Collaborates with internal and external partners to obtain resources. Maintains physician/surgeon schedules and registers patients with correct demographic data.

Communicates schedules on a daily basis. Reviews with advisor, updates staff with revisions, posts schedules.

Acts as liaison to internal departments and external resources and agencies.

Coordinates ensuring all paperwork is complete and preauthorization is obtained. Obtains and processes referrals for procedures.

Oversees documentation of procedures and resources. Tracks service usage. Generates logs for review and enters revisions.

Contracts with vendors to coordinate delivery of equipment and ensures resources for scheduled procedures.

Required Qualifications

High school diploma or GED required.

3–5 years related experience.

Experience with computer systems required, including web‑based applications and Microsoft Office apps such as Outlook, Word, Excel, PowerPoint, or Access.

Pay Range $21.53–$28.97 per hour. Base hourly wage range. Actual compensation may vary based on seniority, education, training, experience, certifications, location, responsibilities, shift differentials, and other permissible pay practices.
