The candidate should be a team player who communicates pleasantly and represents the law office professionally, with willingness to help with coverage.

Position Responsibilities

  • Performs secretarial and clerical duties.
  • Creates and maintains files, keeps records and prepares reports.
  • Assists with trial preparation.
  • Creates and formats pleading tables of authorities and tables of contents.
  • Processes mail daily.
  • Manages attorney phone calls.
  • Responds to and generates email messages.
  • Drafts routine correspondence and documents for attorney approval.
  • Schedules appointments, depositions, and other events.
  • Receives clients at appointments (including beverages).
  • Maintains electronic calendars for attorneys and themselves, including hearings, court appearances, depositions, deadlines, and other commitments.
  • Enter attorneys’ time electronically.
  • Arranges travel, hotel reservations, and continuing‑education registrations for attorneys.
  • Performs conflicts checks.
  • Perfection of documents for court filing; files and effects notice as required.
  • Opens new client matters in accordance with firm procedure.
  • Performs other duties as required.

Requirements

  • Proficient knowledge of State and Federal Rules of Court and California Code of Civil Procedures.
  • Proficient knowledge of Court E‑filing requirements.
  • Familiar with Court, Secretary of State, and County Recorder filing procedures and requirements.
  • Familiarity with law library.
  • Proficient in Microsoft Office Suite: Word, Outlook, Excel, PowerPoint.
  • Experience with document management.
  • Experience with document comparison software.
  • Experience with document formatting software.
  • Experience with Time Entry software.
  • Experience with electronic calendaring and docketing.

This is a full‑time, non‑exempt, in‑office position with competitive pay and benefits.
