Job Summary This position supports the Department of Psychiatry and Health Behavior’s Child and Adolescent Psychiatry (CAP) Residency Program and the Post Pediatric Psychiatry Portal (PPPP) program. The coordinator provides comprehensive administrative support to the Program Director, faculty, residents, and the broader program management team.
Responsibilities
Oversee day‑to‑day operations of CAP and PPPP programs, communicating with GME constituents and staying current on ACGME policies.
Collaborate with the Assistant Program Director to develop and maintain resident rotations, schedules, off‑site requirements, and resident morale.
Coordinate Grand Rounds scheduling, logistics, and CEU documentation.
Assist other administrative staff as needed.
Support the Program Director with annual meetings, residency program review, post‑graduate survey tracking, and policy updates.
Manage residency data in the One‑45 system, ensuring compliance with duty‑hour tracking, evaluations, and credentialing requirements.
Process reimbursement documentation, resident leave requests, and fiscal matters with the business manager.
Coordinate resident events, curriculum, and professional development, maintaining required documentation for ACGME accreditation.
Triaging faculty, resident, and applicant inquiries, providing guidance on policies, and maintaining confidential records.
Maintain didactic schedules, monthly rotation calendars, and essential accreditation documents.
Assist with applicant interview processes, orientation, and graduation events.
Maintain program‑related communications and support marketing activities.
Required Qualifications
Education:
Bachelor’s degree from an accredited college or university and one year of educational program experience; or Associate’s degree with 4 years of professional/administrative experience and at least 2 years in an educational program; or high school diploma/GED plus 7 years of professional/administrative experience with a minimum of 4 years in an educational program.
Skills & Abilities:
Confidentiality, excellent interpersonal and written communication, strong organization, initiative, proficiency with Microsoft Office and data systems.
