The Executive Assistant to the Chief Commercial Officer provides high-level administrative and operational support, ensuring the efficient management of the CCO’s schedule, communications, and strategic priorities. This role serves as a key liaison between the CCO, executive team, global offices, and clients, blending professional and personal support to optimize productivity. The position also contributes to corporate office operations and special projects, requiring discretion, proactive problem‑solving, and exceptional organizational skills.

Duties and Responsibilities
- Executive Support (80%)
- Manage and optimize the CCO’s calendar, coordinating internal and external meetings, client appointments, and strategic travel across multiple time zones.
- Integrate business and personal commitments (family events, travel, social engagements, medical appointments) into a cohesive, prioritized calendar.
- Anticipate needs and proactively resolve scheduling conflicts, delays, and logistical challenges.
- Coordinate key meeting cadences, including leadership meetings, sales reviews, and board presentations.
- Ensure the CCO’s calendar preserves time for major long‑term priorities, balancing numerous short‑term demands and interruptions.
- Organize complex travel itineraries, including booking flights, hotels, transfers, and meeting logistics.
- Monitor and manage the CCO’s email, prioritizing critical communications, handling routine replies independently, and ensuring timely responses.
- Draft correspondence, emails, presentations, meeting agendas, and meeting summaries with a high degree of accuracy and professionalism.
- Organize and systematize voice notes and messages from the CCO, ensuring follow‑up on tasks, contacts, projects, and meeting agendas.
- Serve as a communication liaison between the CCO, executive team, global offices, and key clients.
- Follow up with executives, colleagues, and customers to keep tasks, deadlines, and initiatives moving forward.
- Prepare daily and weekly briefings to ensure the CCO is fully informed ahead of meetings and travel.
- Conduct limited research and analytical tasks, such as updating dashboards and market reports, preparing executive summaries, and contributing newsletter ideas or data.
- Handle sensitive information with absolute confidentiality and discretion.
- Manage expense reports, reimbursements, and executive credit card reconciliations.
- Corporate Office Administration (20%)
- Serve as point of contact for the North Atlanta Corporate Office, ensuring smooth daily operations and a professional office environment.
- Coordinate with vendors, building management, and service providers for office maintenance and supplies.
- Support onboarding logistics for new employees and visitors.
- Assist in planning and hosting internal events, client meetings, and corporate gatherings.
- Maintain a welcoming, efficient, and organized workspace that reflects Fracht’s culture and standards.
Education and/or Work Experience Required
- 5+ years of executive assistant experience supporting C‑level leaders, ideally in a fast‑paced, international organization.
- Proven ability to manage complex calendars, high‑volume travel, and competing priorities.
- Strong written and verbal communication skills; Spanish proficiency is preferred given the CCO’s responsibilities across the Americas.
- Proficiency in Microsoft Office Suite (Outlook, Teams, Word, PowerPoint, Excel).
- High degree of professionalism, confidentiality, and emotional intelligence.
- Experience balancing professional and limited personal assistant responsibilities for a senior executive.
- Strong organizational and problem‑solving skills, with excellent attention to detail.
- Ability to work independently, anticipate needs, and take initiative without constant direction.
- Positive, proactive, and polished demeanor with strong interpersonal skills.
- Flexibility may occasionally be required outside normal working hours due to travel schedules.
- Flexibility in Hybrid schedule, depending on CCO Travel.
Physical Requirements
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
- Must be able to lift and carry up to 20 lbs.
