- + Serve as the first point of contact by managing phone calls, greeting visitors, and ensuring smooth daily communication.
- Handle all incoming and outgoing mail, packages, and deliveries with accuracy and efficiency.
- Coordinate scheduling, maintenance, and inspections for shared company vehicles.
- Manage office supplies across multiple locations and oversee service for key office equipment.
- Prepare job folders, binders, and project submissions to support ongoing work.
- Assist with HR activities, including event planning and maintaining shared kitchen areas.
- Support administrative needs such as travel arrangements, document proofreading, and tracking timesheets or expense reports.
- Proven experience in administrative or office support roles.
- Strong communication skills, including answering calls and handling receptionist tasks with professionalism.
- Solid data entry abilities and confidence managing multiple responsibilities in a fast-paced environment.
- Experience coordinating mail and deliveries, including certified mail processes.
- Familiarity with maintaining office supplies, equipment, and general office operations.
- Knowledge of vehicle scheduling and maintenance tracking.
- Exceptional organizational skills and keen attention to detail.
- Notary certification (or ability to provide notary services) is a plus.
