Description Position Overview We are seeking a detail-oriented and professional Administrative Assistant to support a law firm. The ideal candidate will provide essential administrative support to attorneys and staff, ensuring smooth day-to-day operations in a fast-paced legal environment. This role requires strong organizational skills, discretion with confidential information, and a commitment to excellent client service. Key Responsibilities
- Manage calendars, schedule appointments, and coordinate meetings for attorneys and legal teams.
- Prepare and organize legal documents, correspondence, and reports, including filing, scanning, and maintaining electronic and physical records.
- Handle incoming calls, emails, and inquiries from clients, courts, and other parties, providing accurate information and routing as needed.
- Assist with client intake processes, including gathering initial information and preparing forms.
- Perform notary services for legal documents as required, ensuring compliance with all relevant regulations.
- Support billing and invoicing tasks, including tracking time entries and preparing expense reports.
- Order office supplies, manage inventory, and coordinate with vendors for office maintenance.
- Assist in event planning for firm meetings, client events, or continuing legal education sessions.
- Other administrative duties as assigned to support the firm's operational needs.
- High school diploma or equivalent required; associate's or bachelor's degree in business administration, legal studies, or a related field preferred.
- At least 2-3 years of recent experience working in a law firm or legal setting, with familiarity in legal terminology, procedures, and document management.
- Must be a commissioned Notary Public or willing and able to obtain certification within 3 months of hire.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal software such as Clio, Time Matters, or similar tools.
- Excellent written and verbal communication skills, with a professional demeanor.
- Strong organizational and multitasking abilities, with attention to detail and the capacity to prioritize tasks effectively.
- Ability to handle sensitive information with the utmost confidentiality and integrity.
- Reliable transportation and flexibility for occasional after-hours or weekend work as needed.
