Executive Assistant to the President & CEO
As the Executive Assistant to the President, you will manage the CEO’s calendar, coordinate high-level meetings, and serve as the primary point of contact for internal and external stakeholders. The ideal candidate is proactive, highly organized, with 4–5 years of experience supporting C‑suite executives, excellent communication skills, and a passion for mission‑driven work.
Key Responsibilities
Calendar & Schedule Management: Manage the CEO's calendar, scheduling meetings, travel, and appointments, ensuring time management efficiency.
Communication & Correspondence: Act as a liaison between the CEO and internal/external stakeholders, ensuring timely and professional communication on behalf of the CEO.
Meeting & Event Coordination: Plan and coordinate meetings, conferences, and special events, including preparing agendas, materials, and taking meeting minutes.
Project Management: Assist with the tracking and execution of special projects as directed by the CEO, ensuring deadlines are met and objectives are achieved.
Document Management & Reporting: Prepare reports, presentations, and other documents for meetings and board updates.
Budget Management: Expenditure tracking against budget for the CEO's office.
Technology Savvy: Utilize various software and tools to streamline work processes, including scheduling, document management, and communication platforms.
Confidentiality & Discretion: Handle sensitive and confidential information with the highest level of professionalism and integrity.
Proactive Problem-Solving: Anticipate the needs of the CEO and proactively address potential issues or challenges before they arise.
Support Team Dynamics: Assist other senior team members as needed to ensure smooth internal operations and effective cross-team collaboration.
Performs other duties as needed or as directed.
Knowledge, Skills, and Abilities Required
Undergraduate degree in Administration, Business, or related field.
4–5 years of experience providing C‑suite level support.
Proven ability to work independently and manage multiple priorities simultaneously.
Exceptional organizational skills and impeccable attention to detail.
Highly organized and proactive, able to anticipate needs and respond quickly to changing priorities.
Excellent verbal communication skills.
Proficient writer with experience taking board meeting notes.
Strong proficiency with office software (Microsoft Office Suite, Google Workspace, and other tools) and technology platforms.
Seasoned, professional, and assertive demeanor with the ability to handle diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and partner organizations.
Flexible with experience managing up.
Discretion and ability to maintain confidentiality.
Experience working in a non‑profit environment is a plus but not required.
