Job Overview

We are seeking a professional and organized Receptionist to join our team. This role is vital in ensuring smooth daily operations by managing front desk activities, providing exceptional customer service, and supporting office management tasks. The ideal candidate will be proficient in office software, possess excellent communication skills, and have experience handling multi-line phone systems. Bilingual abilities are a plus, as well as experience with QuickBooks and calendar management. This position offers an engaging work environment where organizational skills and attention to detail are highly valued.

Responsibilities

  • Greet visitors and clients in a friendly and professional manner at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Handle incoming and outgoing correspondence, including emails and mail distribution
  • Schedule appointments, manage calendars, and coordinate meetings for staff and executives
  • Maintain accurate records through data entry, filing, and document proofreading
  • Support office management with clerical tasks such as filing, photocopying, and organizing documents
  • Utilize Microsoft Office Suite and Google Workspace for various administrative functions
  • Assist with bookkeeping tasks using QuickBooks when necessary
  • Provide excellent customer service by addressing inquiries promptly and courteously
  • Ensure the reception area remains tidy and welcoming at all times

Skills

  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and phone etiquette
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Typing speed with high accuracy for data entry and correspondence proofreading
  • Previous office management or administrative experience preferred
  • Bilingual abilities are advantageous for serving diverse clients or staff
  • Knowledge of QuickBooks or bookkeeping is a plus
  • Exceptional customer service skills with a professional demeanor
  • Ability to handle confidential information discreetly and responsibly
  • Strong time management skills to meet deadlines efficiently
  • Experience as a medical or dental receptionist or personal assistant is beneficial but not required

Job Type: Full-time

Pay: $ $13.00 per hour

Expected hours: 40 – 60 per week
