Overview

We are seeking a highly organized and professional Secretary to join our team. The ideal candidate will provide essential administrative support, manage office operations, and ensure smooth communication across departments. This role requires excellent organizational skills, proficiency with office software, and a friendly, customer-focused attitude. Experience with office management, clerical tasks, and customer service will be highly valued. The Secretary will play a vital role in maintaining an efficient and welcoming office environment.

Responsibilities

  • Manage front desk operations, including greeting visitors and handling inquiries
  • Answer multi-line phone systems with professionalism and courtesy, practicing proper phone etiquette
  • Schedule appointments and manage calendars
  • Perform data entry, filing, and proofreading to ensure accuracy of documents and records
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software
  • Provide customer support via phone, email, or in person to address client needs effectively
  • Support office management tasks such as organizing supplies, maintaining office equipment, and coordinating meetings
  • Handle administrative duties including typing correspondence, managing incoming/outgoing mail, and supporting personal assistant tasks as needed
  • Maintain confidentiality of sensitive information and adhere to organizational policies

Requirements

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with QuickBooks or bookkeeping is preferred
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Strong communication skills with professional phone etiquette; bilingual abilities are a plus
  • Demonstrated computer literacy and familiarity with multi-line phone systems
  • Prior experience in customer service or as a medical/dental receptionist is advantageous
  • Ability to handle proofreading tasks accurately and efficiently
  • Strong time management skills to prioritize tasks effectively
  • Personal assistant or calendar management experience is desirable

Job Type: Full-time

Base Pay: From $18.00 per hour

Expected hours: 40 per week
