Position Overview
We are seeking an experienced and highly organized Administrative Assistant to provide maternity leave coverage in a fast‑paced, team‑oriented environment. This role supports multiple teams and plays a key part in ensuring smooth day‑to‑day operations while delivering exceptional service to internal and external stakeholders.
Key Responsibilities
- Provide comprehensive administrative support across teams, with flexibility to assist where needed
- Perform general office and administrative tasks including phone coverage, time entry, copying, scanning, filing, mailing, archiving, inventory ordering, and managing incoming and outgoing mail
- Manage complex calendars and schedules across multiple time zones, coordinating meetings and phone/video conference calls
- Arrange travel and manage expense reporting for team members
- Coordinate office events, including recruiting activities, internal meetings, and external client events
- Assist with conference room coordination, food ordering, document preparation, interview scheduling, and visitor reception
- Liaise with building services and support daily office operations
- Support client servicing activities with a strong focus on operational excellence and customer service
- Handle highly confidential and sensitive information with professionalism and discretion
Qualifications
- Strong proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
- Bachelor’s degree preferred but not required
- Familiarity with expense management platforms such as SAP Concur or Ariba is a plus
- Minimum of 5 years of experience in a professional corporate environment
- Excellent written and verbal communication skills
- Strong team player with the ability to collaborate across local and global teams
- Proven ability to multitask, prioritize, and thrive in a fast‑paced environment
- Self‑starter with strong critical thinking skills and sound judgment
- Demonstrates integrity, professionalism, and transparency in all interactions
