Position Overview We are seeking an experienced and highly organized
Administrative Assistant
to provide maternity leave coverage in a fast‑paced, team‑oriented environment. This role supports multiple teams and plays a key part in ensuring smooth day‑to‑day operations while delivering exceptional service to internal and external stakeholders.
Key Responsibilities
Provide comprehensive administrative support across teams, with flexibility to assist where needed
Perform general office and administrative tasks including phone coverage, time entry, copying, scanning, filing, mailing, archiving, inventory ordering, and managing incoming and outgoing mail
Manage complex calendars and schedules across multiple time zones, coordinating meetings and phone/video conference calls
Arrange travel and manage expense reporting for team members
Coordinate office events, including recruiting activities, internal meetings, and external client events
Assist with conference room coordination, food ordering, document preparation, interview scheduling, and visitor reception
Liaise with building services and support daily office operations
Support client servicing activities with a strong focus on operational excellence and customer service
Handle highly confidential and sensitive information with professionalism and discretion
Qualifications
Strong proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
Bachelor’s degree preferred but not required
Familiarity with expense management platforms such as SAP Concur or Ariba is a plus
Minimum of 5 years of experience in a professional corporate environment
Excellent written and verbal communication skills
Strong team player with the ability to collaborate across local and global teams
Proven ability to multitask, prioritize, and thrive in a fast‑paced environment
Self‑starter with strong critical thinking skills and sound judgment
Demonstrates integrity, professionalism, and transparency in all interactions
