Senior Administrative Specialist #156 – United States Senate Sergeant at Arms

Location: Washington, DC. Salary: $61,290‑$64,000 (Target Hiring Range).

Job Overview The Senior Administrative Specialist is a high‑impact position supporting multiple departments within the Support Operations division of the Senate Sergeant at Arms. Working closely with the Administrative Manager, this experienced professional will provide effective administrative support, play a key role in the division’s recruitment processes, and help ensure seamless internal operations through sound judgment, strategic problem‑solving, and a strong commitment to helping teams succeed.

Key Accountabilities / Essential Job Duties

Perform a range of administrative tasks, including personnel management, preparing correspondence, and generating reports for multiple departments.

Operate various record keeping and personnel processing systems.

Assist in the recruitment and new‑hire process; schedule interviews and prepare and send decline notifications.

Compile and develop Senate Telephone and online directories; enter and maintain information in centralized systems; research and verify information; update all directory sections.

Review and prepare background check packets for SAA vendors; track completion and approval; request ID access.

Process training/conference fee registrations via SAA Purchase Card/custom purchase request; process voucher payment.

Other Duties / Responsibilities

Processes printing/stationery orders.

Processes frame shop orders.

Job Specifications Required Education High School Diploma / GED.

Required Work Experience

Five to seven years of customer service / receptionist experience.

Required Special Skills / Knowledge

Effective verbal and written communication skills.

Ability to handle confidential or sensitive information.

Strong knowledge of Microsoft Office applications.

Ability to work effectively with multiple management levels.

Knowledge of, or ability to learn, departmental rules, regulations, procedures, and functions (including policies and regulations set by relevant Senate committees).

Desired Qualifications

Previous congressional experience, preferably within United States Senate offices.

Demonstrated commitment to delivering excellent customer service in a high‑stakes professional environment.

Strong organizational and time‑management skills; ability to manage multiple priorities under tight deadlines.

Proven ability to work independently while contributing to a collaborative team environment.

Experience supporting recruitment, onboarding, or other human resources processes.

Proficiency in office software and administrative tools, with rapid learning capability.

Excellent written and verbal communication skills.

Strong attention to detail and commitment to accuracy.

Ability to exercise discretion with sensitive and confidential information.

Proactive, solutions‑oriented mindset with interest in improving processes and workflows.

Working Conditions

Onsite presence required during Senate sessions; availability during government shutdowns, inclement weather, holidays, weekends, late nights, overnight, and weekend sessions as needed.

Position considered excepted in the context of government furloughs.
