Front Desk Receptionist

We are seeking an energetic and detail-oriented part-time Front Desk Receptionist/Office Assistant to join our dynamic team. In this vital role, you will be the first point of contact for visitors and callers, ensuring a welcoming and professional environment. Your organizational skills and office management expertise will keep daily operations running smoothly, supporting various administrative functions with efficiency and enthusiasm. Responsibilities:

  • Greet visitors warmly, manage check-in procedures, and direct them appropriately
  • Operate multi-line phone systems with professionalism, demonstrating excellent phone etiquette
  • Handle incoming calls, screen inquiries, and provide accurate information or direct calls to the appropriate team members
  • Manage appointment scheduling and calendar coordination using Google Workspace or Microsoft Office tools
  • Perform data entry, filing, and maintain organized records for easy retrieval
  • Assist with clerical tasks such as proofreading documents, preparing correspondence, and managing mail distribution
  • Support office management duties including supply inventory, basic bookkeeping using QuickBooks, and maintaining a tidy workspace
  • Flexible within the hours of Monday-Friday 8:00am-4:30pm, working 20 hours a week

Qualifications:

  • 2 years proven office experience with strong organizational and time management skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and excellent phone etiquette
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Familiarity with clerical tasks such as data entry, filing, proofreading, and customer support functions
  • Strong interpersonal skills with a friendly demeanor and professional appearance
  • Previous experience as a receptionist or administrative assistant in medical or dental settings is a plus
  • Personal assistant or office management experience is advantageous but not required
