We are seeking a highly organized and proactive

Legal Assistant Scheduler

to join our dynamic Litigation Business Law Firm. The Legal Assistant Scheduler will be responsible for managing the calendars of attorneys and legal staff, scheduling meetings, court dates, depositions, and other appointments. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced environment. Responsibilities

Coordinate and maintain the calendars for multiple attorneys, scheduling court hearings, depositions, client meetings, and other appointments with precision. Schedule and confirm court dates, hearings, depositions, arbitrations, and meetings with opposing counsel, clients, and third parties. Ensure attorneys' schedules are optimized by managing appointments to avoid conflicts and providing reminders for key litigation deadlines. Monitor and track important deadlines such as filing deadlines, court motions, discovery responses, and other critical tasks to ensure compliance. Communicate with clients and external stakeholders to confirm, reschedule, or cancel appointments and provide necessary updates. Coordinate travel arrangements for attorneys and staff, including travel bookings for client meetings, depositions, and court appearances. Assist attorneys with case preparation by organizing and maintaining litigation files, including documents related to ongoing cases. Serve as the point of contact for clients and external parties to schedule and confirm appointments. Prepare and send reminders to clients and attorneys about upcoming meetings, court appearances, or deadlines. Assist in general office tasks such as answering phones, greeting clients, filing, photocopying, and scanning documents. Assist with office organization, ensuring meeting spaces, client areas, and legal document storage are properly maintained. Skills

High school diploma required; an Associate's degree in Paralegal Studies or a related field is preferred. Minimum of 2 years of experience working as a legal assistant, legal scheduler, or in a similar administrative role, preferably within a law firm or litigation-focused environment. Strong proficiency in Microsoft Office Suite and legal practice management software. Strong understanding of legal terminology and litigation processes. Knowledge of court rules, filing procedures, and e-filing systems is a plus. Exceptional organizational skills with the ability to manage multiple tasks and deadlines. Strong verbal and written communication skills, with a professional and client-focused demeanor. Ability to maintain confidentiality and handle sensitive information with discretion. Bilingual (Spanish) is a plus. Company Description
