Our client, a Capital Management firm in Boston, is seeking a friendly and organized receptionist/administrative assistant to be the first point of contact for our company. The ideal candidate will provide exceptional customer service, handle incoming calls, greet visitors, and perform various administrative tasks to support the smooth operation of our office.
Responsibilities
Greet and assist clients and visitors
Manage incoming calls, route calls to the appropriate staff, and take messages as needed. Ensure phone inquiries are handled promptly and efficiently.
Keep the reception area clean, organized, and presentable. Ensure reading materials are available and up-to-date.
Assist with general administrative tasks, such as data entry, scheduling appointments, and maintaining office records.
Coordinate and schedule meetings, appointments, and conference rooms as requested by staff.
Offer basic information about the company and its services. Address general inquiries and provide assistance as required.
Monitor visitor access and maintain a secure environment by following security procedures and issuing visitor badges.
Handle multiple tasks simultaneously, prioritize responsibilities, and ensure that the reception area runs smoothly.
Qualifications
Bachelors Degree preferred
Customer-service mindset
Previous experience as a receptionist or in a customer service role is a plus.
Excellent communication skills, both written and verbal.
Professional appearance and demeanor.
Strong organizational and time-management abilities.
Proficiency with office equipment, including phone systems and computer applications.
