First Command Financial Services, Inc. is looking for a
Legal Administrative Assistant .
Responsibilities
Tracking Legal projects, maintaining corporate Legal Calendar, and assisting the team in prioritizing and handling such projects.
Handling all aspects of meeting planning to include coordinating schedules, arranging teleconference calls, preparing agendas and presentation materials for various departments, attending meetings, and recording minutes of meetings.
Gathering and inputting relevant metrics data into Excel spreadsheets and publishing and distributing key reports to management and legal team members.
Onboarding new employees to include equipment and systems access requests.
Updating legal SharePoint pages.
Problem‑solving, researching, analyzing, and responding to routine legal‑related requests and inquiries from advisors, support staff, and internal business units.
Creating additional files, as needed; organizing and maintaining them per the department document management system.
Assisting in the development and formatting of PowerPoint presentations and other briefing materials.
Distributing daily mail and arranging for FedEx mail‑outs and placing departmental supply orders.
Assisting with routing incoming calls to the department as necessary.
Point of contact for property management requests.
Making arrangements for multiple parties within the department for various travel.
Preparing Accounts Payable, Reimbursement forms, and Request for Absence.
Assisting in the preparation of letters to Advisor Trainees.
Assisting in the organization of materials in common areas.
Active participation in Home Office activities, committees, councils, as aligned with the assistant’s interests.
Participating in and supporting the organization and planning of departmental gatherings and events.
Performing general clerical duties as assigned.
Qualifications
Education : High School Graduate (bachelor’s degree preferred)
Work Experience : 5+ years of administrative experience in a fast‑paced environment.
Required Knowledge, Skills And Abilities : strong writing and communication abilities with prior administrative support experience; excellent Microsoft Office Suite proficiency (Word, Excel, Outlook, PowerPoint, and Access); excellent judgment, integrity, time management, organization, and interpersonal skills as well as problem solving and logistics aptitude; ability to work independently with little supervision and to handle multiple assignments from several compliance professionals and/or attorneys simultaneously.
