Job Summary The Grants Manager will provide coordination for the Population Research Institute for Science and Medicine (PRISM) programs including the summer intensive six-day institute, webinar series, and extended mentoring programs (Scholars and Champions). This position will also assist with data collection and the preparation of annual progress reports and other deliverables for the project. PRISM is a research training and mentorship program for early career faculty conducted with support from the National Institute of General Medical Sciences. The goals of PRISM are to enhance the readiness of early career faculty to conduct community engaged biomedical research. PRISM offers programming that consists of an annual six-day intensive research training and mentorship program for early career faculty on topics such as NIH grant writing protocol and procedures and methods for engaging communities in research. Faculty participants are eligible to apply for ongoing research mentoring, and a series of webinars are also held throughout the year on research-related topics that are available to Institute participants and other faculty across the U.S. The Grants Manager will also support the Robert Wood Johnson Foundation’s Health Equity Research for Action (HERA) Coordinating Center. This position will support and advise the HERA Coordinating Center team and investigators funded through the center. Specifically, this staff member will coordinate the administrative and financial compliance of grant activities, including subaward agreements, reporting deadlines, and communication with funded HERA investigators. They will work closely with OSP, the Project Director, and Administrative Research Coordinator to ensure timely submission of progress and financial reports. This individual will also manage the preparation, submission, and maintenance of Institutional Review Board (IRB) protocols, amendments, and renewals. They will also provide support to ensure that research activities comply with all human subjects’ protections and regulatory requirements.
Essential Duties and Responsibilities
Attend regular weekly, bi-weekly, and monthly meetings with the PRISM and HERA teams.
Ensure PRISM participants complete web-based evaluation surveys to assess satisfaction with and the effectiveness of PRISM educational and mentorship components.
Ensure PRISM participants complete an annual survey to document research productivity.
Prepare table and narrative summaries of evaluation findings working in collaboration with the Data Manager and Administrative Research Coordinator and assist with the preparation of an annual evaluation plan progress report following the requirements outlined by the funder.
Assist with the planning and coordination of PRISM research training and mentorship program components in collaboration with the leadership team. This includes document preparation and management, instructional design and maintenance of learning management platform, facilitation of communication, and other logistical needs among faculty mentors and institute participants, coordination of events, and tracking of program participation.
Participate in debriefing meeting with the PRISM leadership team to provide feedback on the current program and offer suggestions for additional content for future programming.
Participate in planning for and provide guidance on the HERA request for proposal processes and content.
Serve on the application review team to assess applications for grant and human subjects’ compliance.
Work with potential and funded HERA investigators to develop proposals that reflect key grant management components and human subjects’ protections.
Work with CDU’s OSP and IRB teams to ensure HERA awards meet all required grant and human subjects’ protections requirements.
Other Duties and Responsibilities
Administrative support as needed to facilitate Institute functions.
Attend regular staff meetings within the unit.
Attend meetings and events related to the RWJF HERA and broader CDU functions as needed.
Attend training as appropriate to fulfill requirements, update job skills, and promote development.
Represent PRISM and HERA in external meetings as needed.
Perform other duties as assigned.
Qualifications and Requirements Education
Undergraduate degree in public health, psychology, anthropology, sociology or related field.
Experience
Experience developing and implementing government and foundation grant proposals required.
Knowledge of IRB protocols and practices, and responsible ethical research practices.
Experience working with diverse research participants and investigators.
Previous experience with faculty research mentorship or career development program preferred.
Knowledge, Ability, and Skills
Demonstrated leadership and coordination skills.
Candidate must demonstrate a thorough understanding of computer operations including site network, Windows, word processing (MS Word), Excel, and other University reporting systems.
Instructional design knowledge and abilities and Canvas-specific skills are preferred.
Skills in hosting and facilitating Zoom-based webinars/meetings are necessary.
Excellent written, oral, and interpersonal skills; must be able to manage time effectively, prioritize tasks, and work some evenings and weekends to meet project deadlines.
Must be able to work in team settings, function well under pressure, handle multiple tasks concurrently, and remain professional at all times.
Must be able to accept constructive criticism, prioritize workload, be professional, interact positively with others and possess a friendly and outgoing personality. Regular attendance required.
Complexity The ability to perform highly detailed work with sustained attention and care while providing/obtaining information on numerous inquiries is paramount to success in this position.
