Document Controls Specialist
to manage project documentation, ensure version control, and maintain accurate records throughout the project lifecycle. This role plays a key part in supporting construction and engineering teams by ensuring documents are properly tracked, distributed, and archived according to company and client standards. Key Job Responsibilities
Establish and maintain document control procedures and systems for all project-related documentation. Receive, review, and process engineering drawings, specifications, submittals, RFIs, and other project documents. Ensure document numbering, formatting, and metadata comply with company standards and project requirements. Track document revisions and approvals, ensuring the latest versions are available to project teams. Manage digital and physical filing systems to ensure documents are easily accessible and properly archived. Support communication and document distribution between internal teams, subcontractors, vendors, and clients. Generate reports on document status, submittal logs, and outstanding actions. Train team members on document management software and best practices. Ensure compliance with confidentiality, quality, and record-keeping policies. Qualifications
Education: Associate or Bachelor’s degree in Business Administration, Construction Management, or a related field (or equivalent experience). Experience: 2–5 years of document control or administrative experience in construction, engineering, or a similar technical environment. Skills: Strong organizational and time-management abilities. High attention to detail and accuracy. Proficiency with document management systems (e.g., Procore, SharePoint, or similar). Excellent communication and interpersonal skills. Ability to prioritize and handle multiple projects simultaneously. Proficiency with Microsoft Office Suite (Excel, Word, Outlook). Preferred Qualifications
Experience supporting large-scale construction or infrastructure projects. Knowledge of industry standards or document control best practices. Familiarity with project management software (e.g., Primavera, Autodesk, Bluebeam).
