The Conferences Coordinator for Medical Affairs plays a pivotal role in planning and executing external conferences and tradeshow presence within the Kerecis Medical Affairs team. This position involves managing the Kerecis presence at industry tradeshows, conferences, and other Kerecis events.
The Conferences Coordinator works on-site in a Kerecis office and reports directly to the Director of Events and Conferences. This is a full-time role.
Essential Functions
Collaborate with stakeholders to plan and execute Kerecis’ presence at industry conferences and tradeshows, to include exhibit booth coordination and conference registration
Support external educational events and tradeshows
Plan and manage team calls leading up to tradeshows and conferences inclusive of Medical Affairs, Clinical Affairs, Sales, Marketing, etc. to ensure a cohesive and smooth plan execution
Lead the design and production of the exhibit booth for conferences, in conjunction with marketing and sales teams, ensuring alignment with the company's brand and messaging
Oversee all logistical aspects of external events, such as venue selection, vendor management, travel arrangements, and on-site coordination of exhibits and staff roles and responsibilities
Collaborate with IT and external vendors to ensure seamless audiovisual setup and technical support during conferences and tradeshows, including presentations, videos, and live streams
Assist in creating and managing event budgets, tracking expenses, and ensuring cost-effective event execution; financial reconciliation including submitting Purchase Orders and invoices, reconciling department expenses monthly
Work closely with cross-functional teams, including marketing team, sales team, executive leadership, and various departments, to ensure seamless event coordination aligned with company objectives
Additional tasks and responsibilities as assigned
Requirements
Strong organizational and project management skills, capable of handling multiple tasks simultaneously, meeting deadlines, and managing unexpected challenges during events
Innovative mindset to develop engaging event themes, activities, and content supporting marketing objectives
Excellent communication and collaboration skills to work effectively with cross-functional teams and build relationships at all organizational levels
Commitment to delivering high-quality event experiences, ensuring flawless execution of all logistical aspects
Proactive problem-solving skills to identify and address issues in a fast-paced environment
Proficiency in Microsoft Office Suite and experience with event management software desirable
Willingness to work flexible hours, including evenings and weekends, as necessary for event planning and execution
Education & Experience
Bachelor's degree from an accredited college or university in marketing, communications, event management, or related field required
4-7 years of experience in event planning, marketing, or communications preferred
Anticipated travel: up to 15-20%
