Senior Administrative Assistant II, Pediatrics

Job Summary Assists with management of moderately complex administrative and business functions of the Pediatrics division, supporting faculty, medical directors and research personnel. Works closely with the Division's Lead Administrator to ensure efficient operations.
Responsibilities
Calendar management, coordinate travel and expenses, and handle supply orders.
Prepare presentations, host virtual and in-person conferences/meetings, and serve as division time editor.
Manage faculty clinical schedules.
Assist in preparing reports, charts, graphs, budget information.
Select office vendors and manage purchasing processes.
Provide general office support, including overflow work from other assistants and acting as receptionist when needed.
Schedule and organize meetings, travel, conferences and department activities.
Compose and process documents according to established procedures.
Organize office procedures to ensure effective operation.
Act as liaison with other departments and agencies.
Process personnel and purchasing transactions following institutional policies.
Determine work priorities and monitor progress toward deadlines.
Ensure document retention processes are followed using established guidelines.
Perform other duties as assigned.
Qualifications
High School Graduate or equivalent.
Minimum 4 years related work experience; higher education may be considered in lieu of experience.
Detail-oriented, organized, with strong verbal and written communication skills.
Proactive problem solver with high level of professionalism and confidentiality.
Customer service focus.
