Medical Front Desk I (Bilingual Spanish Required) Salary: $23-27 per hour DOE

Location: Westminster, CA

Position Purpose Medical Front Desk I is an entry‑level position responsible for providing essential front‑office support under direct supervision. This role is designed for individuals with one or more medical front office or customer service experiences who are developing their administrative skills in a healthcare environment. Front Desk I must be able to assist patients and clinic staff with administrative tasks, patient flow, and communication needs, and deliver services according to established standards and practices. Responsibilities focus on efficient, professional, and compassionate support to patients, including check‑in, check‑out, appointment coordination, and front‑office operations. Front Desk I staff may also assist with basic non‑clinical back‑office tasks that support workflow but do not involve patient care. The primary focus of the role is to ensure a positive patient experience while demonstrating the organization’s core values, supporting the clinic team, and contributing to a smooth, patient‑centered environment.

Core Duties and Responsibilities

Reports assigned ready to perform job duties at the beginning of the shift, take breaks and report back to work at the specified time in accordance with Families Together Orange County

Appearance exemplifies the professional image of Families Together Orange County through acceptable habits of dress, grooming, and hygiene

Greet patients warmly and always provide outstanding customer service

Verifies patient information by interviewing patients, recording medical history, and confirming the purpose of the visit

Performs Front Office check‑in process by verifying insurance and updating patient demographics information accurately in the EMR system

Collect proper information such as co‑pays, outstanding balances, and complete daily cash reconciliation

Assist with incoming calls, assist patients with inquiries, and route calls appropriately if needed

Maintain accurate patient records, documentation, and scanning of forms

Maintain a clean and organized front desk and lobby environment

Secure patient information and maintain patient confidentiality by completing and safeguarding medical records and other patient information

Accurately records patient information, measurement data, procedure documentation, and test results into the electronic medical record, securing the workstation when finished

Ensure the highest quality of health services are delivered in both clinic and field settings by maintaining a safe, secure, and healthy work environment

Follows clinic standards and procedures, complying with legal regulations

Demonstrate professionalism and foster collaboration with co‑workers to enhance team productivity

Values and respects the concerns and feelings of others. Demonstrates care, compassion, and appreciation for the team

Identifies with the organizational goals, including customer service, fiscal responsibility, and understands their role within it

Proactively takes action without being prompted. Respond quickly to requests for assistance from the team and work well with others

Understand and follow the organization’s chain of command, escalating issues, concerns, and improvement suggestions to the appropriate supervisor

Education, Qualifications, and Experience

High School Diploma or GED Required; some college coursework preferred

Entry‑level candidates with minimal medical front office experience are encouraged to apply

Bilingual: Spanish (Required)

Minimum of 1 year of experience in a healthcare front office or customer service role preferred but not required

Bilingual: Spanish, Russian, Vietnamese, or Farsi

Familiarity with EMR systems is preferred

Ability to follow instructions, ask questions, and seek clarification when needed

Strong communication, customer service, and teamwork skills

Ability to maintain professionalism, confidentiality, and compassionate approach

Work Schedule

FTOC is an in‑person organization first, and foremost. Employees are expected to be on‑site for their scheduled shifts.

Hours of operation are Monday to Friday 8 a.m. to 8 p.m.; however, employee schedule varies, depending on organization, staffing, community, and patient needs. As such, FTOC may need to modify work schedules to meet such needs.

Holidays and weekends may be required depending on an employee’s department due to organizational, staffing, community, and patient needs as FTOC continues to grow and expand work days and hours.

Overtime may also occur due to organizational, staffing, community, and patient needs.
