Overview Patient Scheduler 2 (F/T) – Bascom Palmer Eye Institute – Miami at University of Miami. The role delivers exceptional customer service by communicating with patients over the phone to provide information and coordinate scheduling of diagnostic therapies and other procedures. The incumbent interacts with referring physicians, radiologists, technologists, and patients to ensure smooth coordination of procedures and exams.

Responsibilities

Schedules all types of complex exams with attention to detail.

Delivers exceptional customer service by answering incoming calls or contacting patients to determine exam times.

Obtains and verifies necessary demographic and insurance information.

Screens and verifies information for accuracy when scheduling exams.

Manages high call volumes to educate patients on exam preparation and answer questions.

Uses multiple computer applications and scheduling software to coordinate exams across multiple modalities and entities in the UHealth system.

Uses complex medical terminology and precise scheduling protocols to ensure compliance, including reviewing and comparing a patient’s previous imaging report to the current order.

Coordinates processes and timing as required by the physician and facility for special procedures.

Notifies appropriate parties if labs or premedication (e.g., allergies, oral sedation) are required and collects necessary information.

Adheres to University and unit-level policies and safeguards for assets.

Qualifications Note: Core qualifications

Education: High School diploma or equivalent.

Experience: Minimum 2 years of relevant experience.

Knowledge, Skills and Attitudes:

Ability to complete assignments accurately with attention to detail.

Data entry skills with minimal errors.

Ability to prepare and maintain records, files, reports and correspondence.

Effective oral and written communication skills.

Ability to work independently and/or in a collaborative environment.

Ability to handle confidential information with discretion.

Department Specific Functions

Contact patients in a timely manner to schedule Serum Tears and PRGF appointments.

Answer questions about the process and handling of drops.

Ensure each patient has an updated prescription or order prior to scheduling.

Log into UChart to obtain updated prescriptions as necessary.

Facilitate communication with the provider if an updated prescription is required.

Input patient, order, and appointment information accurately in the scheduling system.

Collect payment information from patients and provide it to the billing coordinator for timely charging.

Submit patient appointments to the appropriate mobile phlebotomist company.

Maintain effective communication with laboratory staff to ensure daily schedule, redraws, and special patient needs are handled appropriately.

Handle patient complaints and escalate to management as necessary.

Send patient pamphlets to community physician practices as needed.
