Summary The Executive Assistant is an integral member of Associate and C suite customers, who proactively provides administrative and organizational support to the EVP and his subordinates. The Executive Assistant seamlessly collates, monitors, analyses and disseminates information to the team(s), leads departmental initiatives and works collaboratively by supporting various projects and reporting requirements. Key Responsibilities Maintaining the EVP's appointment schedule by planning and scheduling meetings, conferences and travel. Conserves the EVP's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating communications. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Preparing and managing departmental budgets. Compiling, distributing and filing the management reports and presentations. Assisting with collating and distributing other reports as and when required. Welcoming guests and customers by greeting them, in person or on the telephone; answering or directing inquiries. Managing and coordinating the department’s: a. Travel, tour and holiday schedule b. Routine administrative tasks and maintenance of hardcopy and electronic records c. Assisting with department function planning for special events, lunches, dinners.
