Full time Surgery Scheduler 1 positions are currently available in Miami, FL. The Scheduler assists with the coordination and scheduling of surgical procedures and serves as liaison between physicians, medical staff, and other departments to ensure smooth scheduling operations. The Scheduler works directly with patients and strives to provide an excellent healthcare experience.

Core Job Functions

Schedules surgical appointments and monitors cancellations, keeping daily schedule accurate and current.

Completes necessary paperwork prior to pre‑op appointments and obtains referrals and authorizations.

Follows up with appropriate departments to ensure that all pre‑op results are available prior to the procedure.

Informs patients regarding activities that will take place during the visit and provides a pamphlet of appropriate surgical facility.

Apprises patients of financial responsibilities prior to the date of the procedure.

Adheres to University and unit‑level policies and procedures and safeguards University assets.

Qualifications

Education:

High School diploma or equivalent.

Experience:

Minimum 1 year of relevant experience.

Any relevant education, certifications and/or work experience may be considered.

Department‑Specific Functions

Receives requests for surgery date from physician, secretary, or patient by facsimile, telephone, or in person.

Obtains all pertinent information to schedule the case, including demographics, estimated time of surgery, procedure, diagnosis, and length of surgery.

Schedules patient in the operating room block and posts procedures in the operating room system at JMH, UHealth towers, and Lennar Foundation Medical Center.

Contacts patient to inform them of surgery dates, time, and location.

Informs patients of required lab work and follows up with insurance or patient as appropriate.

Co‑ordinates lab requests, consent forms, and physician orders, faxing them to the hospital pre‑operative office.

Updates the OR log to show document receipt.

Provides weekly surgical schedules to the surgeon.

Verifies benefits, deductibles, out‑of‑pocket amounts, and claim payments, communicating these to patients.

Schedules pre‑op and post‑op appointments with necessary referrals and authorizations.

Ensures patient registration and insurance information is correct, making corrections as needed.

Reminds patients 2 to 3 days prior to surgery of date, time, location, and required lab work.

Submits copies of the surgical data form to billing and uploads documents into Epic.

Provides patients with the telephone number and e‑mail of the University of Miami estimate department.

Knowledge, Skills and Attitudes

Ability to communicate effectively in both oral and written form.

Proficiency in completing assignments accurately with attention to detail.

Ability to process and handle confidential information with discretion.

Ability to work independently and/or in a collaborative environment.

Proficiency in computer software (Microsoft Office).
