Permits and Licensing Unit Program Assistant II Position #43638

Base pay range: $19.96/hr – $26.41/hr

SUMMARY Performs paraprofessional duties to assist supervisor with the development, implementation and oversight of unit programs and performs comprehensive review of applicant eligibility and related transactions for the Division of State Police, Permits and Licensing Unit.

QUALIFICATIONS

Equivalent combination of 2.5 years of education and experience after completion of high school.

No license or certification required.

Must pass a fingerprint based criminal background check and motor vehicle record check.

Trainee Option: candidates with an equivalent combination of 1.5+ years of relevant education and experience may be considered for trainee status.

After-hire requirement: Must obtain State Police On-Line Telecommunications System (SPOTS) certification within 90 days of hire.

Preferred Qualifications: Experience performing data entry, providing customer service, or reviewing data are preferred.

RESPONSIBILITIES

Reviews applications, verifies completeness and accuracy, determines eligibility for permits or license requests.

Manages caseload to ensure adherence to required timeframes and cooperates with coworkers for continuity of processing functions.

Conducts advanced research into criminal history record information; determines timely approval or denial of requests.

Corresponds with state, local and federal law enforcement agencies and courts to request additional information when needed.

Communicates with Federal Firearms Licensees (FFLs) and liaises with FBI NICS and ATF regarding licensing issues.

Provides administrative supervision to unit staff for processing applications and maintaining information.

Prepares reports of caseload to supervisor for decision-making related to workflow, training needs, and coverage adjustments.

Assists with evaluating and developing training programs and manuals; conducts informational and operational training for staff members as needed.

Maintains working relationships with state personnel, law enforcement agencies, and federal agencies to ensure efficient communication.

Provides technical assistance to database users, including State Police, local law enforcement, and court staff, in navigation of NCIC, NICS, OPENFOX, and other software applications.

Develops and maintains efficient filing systems and workflow processes; purges records in accordance with State law.
