The Role

As a Bilingual Recruiting Assistant, you are the first point of contact for our applicants and employees. You will support our recruiting team by managing the initial hiring stepsfrom screening callers to handling onboarding paperwork. This is a fast-paced role that requires high energy and the ability to pivot between different tasks quickly.

Primary Responsibilities

  • Candidate Screening: Manage the initial application flow; conduct phone screens in both English and Spanish for warehouse, production, and office roles.
  • Onboarding & Documentation: Administer skill assessments, process employment verifications, and ensure all new-hire paperwork is completed accurately.
  • Data Entry: Maintain accurate and up-to-date records in Bullhorn (ATS) for all candidates and employees.
  • Scheduling: Organize interview calendars for recruiters and ensure candidates are prepared for their appointments.
  • Payroll & Timekeeping: Audit and enter weekly time cards to ensure our associates are paid correctly and on time.
  • Front Office Support: Greet all visitors professionally and handle high-volume incoming calls with a helpful attitude.

Required Skills & Qualifications

  • Bilingual Proficiency: Must be fully fluent in Spanish and English.
  • Effective Communication: Strong phone presence and the ability to write clear, professional emails.
  • Computer Skills: Comfortable using Google Workspace (Gmail, Docs, Sheets) and able to learn new database systems quickly.
  • Reliability: A consistent "show up and work" mentality with a high level of professional presentation.
  • Performance Under Pressure: Ability to stay organized while managing multiple tasks in a busy office environment.
  • Detail-Oriented: Precision is keyespecially when handling payroll audit and onboarding documents.

Preferred Experience

  • Typing Speed: Ability to type at least 40 WPM.
  • Administrative Background: Previous experience in a reception, administrative support, or professional customer service role.
  • Software: Prior experience with Bullhorn or another Applicant Tracking System (ATS) is a significant plus.
