Administrative Assistant II - Ophthalmology, Westwood

Salary Range : $26.42 - 37.49 Hourly
Primary Duties and Responsibilities We are seeking a reliable, patient-focused team member who is committed to creating a positive experience for our patients and providers. Our specialty ophthalmic clinic is dedicated to delivering high-quality patient care in Westwood. This practice supports a broad range of services including vision therapy, primary eye care, and research studies.
Scheduling patient appointments and coordinating check-in and check-out activities
Managing a high volume of incoming phone calls and inquiries
Collecting payments at the time of service and preparing billing documentation for the department’s business team
Supporting pre-authorization processes to help ensure timely access to care
Assisting as needed with rooming patients and preparing exam rooms between visits
Managing office calendars, including provider meetings, travel schedules, staff coverage, and work-study coordination to support daily operations
Job Qualifications
Demonstrated ability to triage patient issues to achieve resolution including the ability to interact diplomatically and sympathetically with patients, their families and the general public in a high volume, continuous public contact setting.
Ability to schedule and register patients utilizing the computerized appointment scheduling and registration systems.
Demonstrated interpersonal skills to interact effectively with staff, physicians and patients over the phone and in person.
Ability to complete heavy flow of work with minimal supervision and within established time frames.
Ability to prioritize and organize workload, working independently and multi-tasking with frequent interruptions.
Ability to respect and preserve the confidentiality of personnel information and other sensitive matters.
Demonstrated skill in problem solving to quickly assess, define, and resolve complaints and errors.
