Description We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in Rochester, New York. In this role, you will support daily office operations and assist with tasks related to client communication, document preparation, and data management. This position offers an opportunity to contribute to a fast-paced environment while ensuring smooth administrative processes. Responsibilities:
- Notify clients when their tax returns are ready for collection.
- Confirm receipt of mailed or faxed information by contacting clients directly.
- Prepare folders for upcoming appointments and maintain a supply of blank folders for incoming returns.
- Assemble tax returns accurately and efficiently.
- Utilize secure platforms, such as Share File and Safe Send, to transmit client information and electronic signatures.
- Scan tax source documents into the system using Sure Prep.
- Handle inbound and outbound calls to address client inquiries and provide updates.
- Organize and manage email correspondence effectively.
- Schedule appointments and maintain an organized calendar. Requirements - Proficiency in answering inbound calls and providing excellent customer service.
- Strong skills in data entry with attention to detail.
- Experience in managing email correspondence professionally.
- Ability to handle both inbound and outbound calls effectively.
- Familiarity with Microsoft Excel, Outlook, Word, and PowerPoint.
- Expertise in scheduling appointments and managing calendars efficiently.
- Excellent organizational and multitasking abilities.
