We are looking for an experienced receptionist to join our team in Virginia Beach, Virginia. This contract position offers an opportunity to showcase your organizational and customer service skills in a dynamic, detail-oriented services environment. As the first point of contact for clients and visitors, you will play a key role in maintaining smooth operations and a welcoming atmosphere.

Responsibilities:

  • Provide a warm and attentive greeting to clients and visitors, ensuring they feel welcomed and attended to.
  • Manage incoming and outgoing mail, including sorting, distributing, and preparing items for dispatch.
  • Organize and maintain client records, ensuring accurate documentation and easy access to information.
  • Perform administrative tasks such as scheduling appointments, maintaining office supplies, and data entry.
  • Answer and direct calls using a multi-line phone system, ensuring prompt and efficient communication.
  • Coordinate office calendars and assist with appointment management to ensure seamless scheduling.
  • Support general office operations by managing supplies and ensuring resources are readily available.
  • Handle inquiries from clients and staff with a detail-oriented and customer-focused approach.
  • Maintain an organized and functional reception area to create a positive impression for visitors.
  • Assist with additional administrative tasks as needed to support the team.

Requirements:

  • Minimum of three years of experience in receptionist or customer service roles.
  • Strong communication skills, both written and verbal, to interact effectively with clients and team members.
  • Exceptional organizational abilities with attention to detail and accuracy.
  • Proficiency in using office equipment and software, including Microsoft Office Suite.
  • Ability to multitask and prioritize responsibilities in a fast-paced setting.
  • Experience with managing multi-line phone systems and directing inbound calls.
  • Friendly and approachable demeanor with a focus on delivering excellent customer service.
  • Familiarity with scheduling tools and appointment coordination.
