Office Assistant Position

We are looking for a dedicated Office Assistant to join our team in Stamford, Connecticut. This contract to permanent position is ideal for someone who thrives in a fast-paced environment and enjoys supporting the smooth operation of a detail-oriented services firm. You will play a vital role in ensuring daily administrative and logistical tasks are completed efficiently.

Responsibilities:

  • Sort and distribute incoming mail, scan documents, and manage outgoing mail processes.
  • Maintain and restock office equipment, such as copiers and scanners, while placing service calls when necessary.
  • Organize and file records related to office activities and business transactions, both manually and electronically.
  • Assemble, disassemble, and manage inventory of goods and materials, ensuring stock levels are maintained.
  • Assist in preparing meeting or seminar rooms, including arranging necessary materials.
  • Perform routine clerical duties such as scanning, copying, and sorting documents.
  • Ensure filing systems are kept updated and organized for easy access.
  • Handle physical tasks, including lifting moderately heavy boxes as needed.
  • Carry out additional administrative tasks as assigned to support the team.
  • Requirements:

    • Previous experience in receptionist or clerical roles with a focus on administrative support.
    • Proficiency in scanning, copying, and sorting documents efficiently.
    • Ability to manage and maintain office equipment, including troubleshooting minor issues.
    • Strong organizational skills to handle filing systems and inventory management.
    • Comfortable performing physical tasks, such as lifting and moving boxes.
    • Excellent communication skills to coordinate with team members and departments.
    • Familiarity with office environments and standard procedures.
